Master Timeline & Budget Tracker

Wedding Planning
Comprehensive coordination from the first vendor call to the final farewell — managed by a dedicated Swiftylumen planner.

Not a checklist handed to you — a planner who holds the whole picture so you do not have to.
Our full planning service begins twelve to eighteen months before your wedding date, depending on complexity. We open with a deep-dive discovery session to map your priorities, non-negotiables, and vision. From there, your dedicated planner builds a master project timeline, sources and vets vendors across all categories — photographer, officiant, florist, hair and make-up, transportation, and more — and negotiates contracts on your behalf. Every month includes a structured check-in call and a written status summary. In the final eight weeks, we shift into production mode: confirming all logistics, preparing a minute-by-minute event run sheet, and conducting a venue walk-through with every lead vendor. On the day itself, your planner and a supporting coordinator are on-site from setup through to the moment your last guest leaves.
Concrete deliverables at every stage of the planning journey.

We brief, shortlist, and negotiate with vendors across all categories. You meet the finalists — we handle the back-and-forth.
A minute-by-minute production document distributed to every vendor, so everyone moves in the same direction without you lifting a finger.
Two Swiftylumen team members on-site for the full event day, from venue setup (typically seven hours before doors open) through to final pack-down.
We believe you deserve a clear picture of what planning can and cannot control.
Full planning does not make weather predictable, eliminate the possibility of a vendor emergency, or guarantee every family member will be easy to seat. What it does is build enough structure and contingency into your day that when something unexpected happens — and occasionally it does — there is a plan B already in motion. We are transparent about timelines: venues that require planning permissions or city permits in Toronto can add six to ten weeks to your preparation window, and we flag this at the outset. We do not take on weddings with fewer than eight months of lead time, as that is the threshold below which we cannot deliver the standard we hold ourselves to.
“We planned our wedding across two cities — my family in Vancouver, his in Toronto — and the coordination felt impossible until Swiftylumen stepped in. Every call was structured, every question answered before we thought to ask it. By the week of, we felt genuinely calm, which I did not think was possible.”
